Quickly learn about Shareflex

Video transcript

Shareflex is an application development platform for implementing business applications on SharePoint Online.
Shareflex is ideal for building SharePoint Online custom applications.
Shareflex also offers various standard business applications for SharePoint Online such as Contract Management, Quality and Audit Management, Invoice Management and Personnel Management.
Without Shareflex we are not able to implement complex SharePoint Online applications for our customers, because of many features that SharePoint Online does not offer that we have to program from scratch.
In this video we will show these functions.

Shareflex is created by Portal Systems, a German company from Hamburg.
Shareflex uses various standard SharePoint Online functions such as lists and libraries, sites, workflow, email messaging and permissions.
To begin with, we can create nice-looking functional forms with Shareflex, beautifully organized and intuitive.
For example, we can provide the Shareflex forms with different tabs, dynamic fields shown with a certain dependence on other fields, tables with calculations, related documents, dynamic field input validation, and related other list data.

Shareflex offers a great way to integrate files with a specific form.
This example shows a SharePoint Online form to which different files are linked.
The Word document can be modified by the user in this context.
Because the added documents are stored in a SharePoint Online files library, all standard SharePoint functions are available, like version control.

Workflow functions and email notification are important for the business applications that we build.
Shareflex is very suitable for this and offers a beautiful workflow module.
I will now give you a demo from the user’s perspective.
A user fills out a certain Shareflex form on the SharePoint Online site.
After pressing ‘save’ a ‘Request office supplies’ button will appear on the form.
When the user has pressed this button, the list of requests is displayed, for which the status is ‘Submitted’ for his new request.
An email is automatically sent to the requester.
The requester can no longer change the request during the workflow.
An email has also been sent automatically to the person who has to approve the request as configured in the workflow.
The workflow task shows the request with any files and the approval options together on one screen to the person who must process the request.
All workflow tasks assigned to a user, are also visible in a workflow task list.
In this example, the request is rejected and the requester will be notified of this with the reason for rejection.
Shareflex Workflows also includes a delegation function that allows the person who has to approve a request, can delegate his tasks to another person for a certain period of time.

The workflow is built by the developers in the modeling below.
In this way they have an overview of the total workflow on one screen.
Various attributes are set the workflow.
For instance the e-mails that are sent when a certain workflow task has been completed, or should be implemented.

In many cases a SharePoint application is built and tested in a SharePoint test environment.
If the application works perfectly, the application should be placed in a SharePoint production environment.
Shareflex offers a fully automatic application roll-out function which makes the complete roll-out of complex applications very easy.
After a few minutes the complete application is installed on the new SharePoint Online production site.
The next step is to set up the permissions and then the application can be utilized.
This method can also be used to update existing applications.
