The future of the Shareflex Forms Designer

In our default project for clients, we customize ready-made Portal Systems Shareflex solutions like QMS according to the client’s requirements. Once deployed to the client’s SharePoint Online site, the client can use the Shareflex form designer to make relatively small adjustments to the forms.

At the time of writing, Shareflex Contract and QMS use the Shareflex Forms Designer. Only Shareflex Documents uses the Shareflex Forms Kit. The Forms Kit in Shareflex Documents offers advanced customization options, feature flags, and a comprehensive information architecture, making it more versatile. In contrast, the Forms Designer in Shareflex Contract is limited to basic customizations without these extensive features.

The Shareflex Forms Kit will be added to Shareflex Contract and QMS at the end of 2025 or the beginning of 2026. In the following sections, we will give a brief introduction to the Shareflex Forms Designer and the much more versatile Forms Kit.

Starting the designer

Features:

  • Manage fields: add missing fields, move fields within the form (e.g., from left to right), make fields read-only or required, change field titles, customize labels and text.
  • Manage cells and grids: add table rows and columns, change grid width and the number of columns in the grid.
  • Manage tabs: adjust tab positions, change tab names, and create new tabs.

Shareflex Forms Kit

Starting the designer

Features:

Besides the features supported by the Forms Designer, the Forms Kit can additionally perform the following:

  • Add SharePoint Online columns directly from the Forms Kit interface and access SharePoint Online site settings.
  • Manage the design of the bookmarks side pane displayed on the right side of the screen.
  • Manage the secondary views design, displayed at the bottom of the screen, add new secondary views, and manage their usage.
  • Manage the structure tree design, which displays the list items, including managing the search filters.

Conclusion

The Forms Kit offers far more features compared to the Forms Designer, allowing clients to fine-tune Shareflex applications after deployment by Lialis without requiring further involvement from us. However, the Forms Kit will be integrated into the ready-made Shareflex solutions for document control and contract management by 2026.
